Privacy Notice for Signers and Recipients

This notice explains what SealMySignature records when you receive, view, or sign a document, why, and what you can do about it. Tokens in braces are filled in for the organization that sent you the document.

Who is responsible

  • Controller: the organization that sent you the document, the address on the document, or ask the sender. The sender decides why your information is processed.
  • Processor: SealMySignature, which operates SealMySignature on the sender's behalf and follows the sender's instructions.

What is recorded

  • Your name and email address, as entered by the sender.
  • The documents you are asked to sign and the values you enter into fields.
  • Your signature and initials images, and, for typed signatures, the text and font you chose.
  • Your IP address, browser and device details, and the date and time of each action (link opened, code verified, consent given, field completed, signed, declined, downloaded).
  • Your consent to this disclosure and the version you agreed to.
  • For the advanced signature level, a digital certificate issued in your name for the single act of signing.

No location data beyond the IP address is collected. Signing pages carry no advertising or analytics trackers.

Why it is recorded

  • To deliver the document and let you sign it (performance of a contract, or steps taken at your request before a contract).
  • To produce evidence that the document was signed by you, when, and how, which the sender needs for its legitimate interests in enforcing agreements and meeting legal obligations.
  • To detect and prevent misuse, such as attempts to guess signing links or codes.

How long it is kept

The sender sets the retention period for completed documents and their audit records: set by the sender for each organization. Signed agreements may be kept for as long as the law or the sender's legitimate interests require, even if you ask for deletion, because the record proves what was agreed. Everything else is deleted or anonymized when no longer needed.

Where it is stored

Documents and records are stored encrypted in the us-east-1 region. Email delivery uses a provider that may process delivery metadata in the United States under standard contractual clauses. The current list of sub-processors is available from [email protected].

Your rights

Depending on where you live, you may have the right to access the information held about you, correct it, receive a copy in a portable format, object to certain processing, ask for deletion, and complain to a supervisory authority. To exercise a right, use the Your Data link in any email you received from SealMySignature, or contact the sender at [email protected]. Requests are answered within one month. Deletion requests cannot remove a signed agreement the sender is entitled to keep, but personal details held outside that record are removed or anonymized.

Cookies

Signing pages use one strictly necessary cookie to keep your place during signing. It is not used for tracking and needs no consent banner.

Changes

This notice is versioned. The version you saw is recorded with your consent. Material changes are posted at https://sealmysignature.com/privacy.

Asking for Your Data

You can ask for a copy of the information held about you, or ask for it to be erased. The request goes to the organization that sent you the document, who decide what happens to it, and they have one month to answer.

Open the Your Data link at the bottom of any email you were sent about a document. That link proves the request is yours without asking you to create an account, which is why there is no form on this page.
